Our Client's Company requires an Administrative/Marketing Assistant for their local shopping centre:
Their Job Description:
- 12 month maternity fill in from approximately March 1 2022 to February 2023.
- Salary between $35,000 and $40,000 per year depending on experience
- Hours are typically Monday to Friday, 9am to 5pm with occasional weekend or evening work depending on what events are happening.
- This job will be split 50/50 between assisting with marketing/events and administrative/reception duties.
- Our Marketing Director will be going on maternity leave, the plans for the year will be finalized before her departure. The Property Manager and Assistant Property Manager will work with the new assistant to implement the 2022 marketing plan and maintain office continuity.
Administrative assistant responsibilities:
- Answer and direct phone calls
- Organize and schedule appointments and meetings
- Produce and distribute correspondence memos, letters, faxes, and forms
- Maintain computer and manual filing systems
- Order office supplies
- Provide general support to visitors
- Provide information by answering questions and requests
- Prepare and monitor invoices
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Cover the reception desk when required
- Handle sensitive information in a confidential manner
- Reply to email, telephone, or face to face inquiries
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of other colleagues
Marketing Assistant Responsibilities
- Work as directed by the Property Manager and Assistant Property Manager to implement the marketing program as planned by the Marketing Director who will be going on maternity leave.
- Assist with the assembly of seasonal décor including Valentines, Easter, Fall and Christmas etc...
- As directed, co-ordinate a weekly mall schedule of events with administrative and maintenance staff
- Work with maintenance staff on the set up of on-site events including Country Club promotions (e.g. Mother’s Day GWP, Santa Set); Not-For-Profit Partnerships (e.g. Lotto for Life, Pottery Show) and Merchant events (Comic Book Show, AGM)
